FreightAI ("we," "our," or "the Platform") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our platform at freightai.systems.

Information You Provide

When you register an account, submit a quote request, or use our services, we collect information you voluntarily provide, including:

  • Account information: name, email address, password (stored as a cryptographic hash), phone number, and user role selection
  • Business information: company name, MC number, DOT number, fleet size, equipment types, insurance details, and service areas (for carriers and owner-operators)
  • Shipment information: origin, destination, freight type, weight, dimensions, pickup and delivery dates, and special requirements
  • Payment information: processed securely through Stripe — we do not store credit card numbers, CVVs, or full card details on our servers. Factoring company details are stored for carriers who elect factoring as their payment method.
  • Documents: bills of lading, proof of delivery, insurance certificates, rate confirmations, W-9 forms, and other freight-related documents you upload
  • Communications: messages sent through our contact form, dispute resolution system, or support channels
  • Referral information: referral codes shared and redeemed through our carrier referral program

Information Collected Automatically

  • Usage data: pages visited, features used, timestamps, and interaction patterns
  • Device information: browser type, operating system, IP address, and device identifiers
  • Location data: GPS coordinates from drivers who enable location sharing for shipment tracking purposes
  • Transaction data: shipment rates, lane information, delivery times, and payment amounts used for market intelligence analytics

  • FMCSA: carrier operating authority status, safety ratings, and compliance data
  • Highway: carrier identity verification and monitoring data
  • Carrier411: carrier performance history and complaint records
  • Stripe: payment processing confirmations, Connect account verification status, and transaction status

2. How We Use Your Information

We use collected information to:

  • Provide, operate, and improve the FreightAI platform
  • Generate AI-powered freight quotes using market data analysis
  • Match shippers with verified carriers based on location, equipment, and performance
  • Process payments through Stripe Connect, factoring companies, or direct deposit
  • Verify carrier credentials and maintain compliance records
  • Provide real-time shipment tracking and status updates
  • Send transactional emails (quotes, confirmations, verification, password resets, dispute updates)
  • Detect and prevent fraud, double-brokering, and unauthorized access
  • Comply with legal obligations and regulatory requirements (including FMCSA record-keeping)
  • Analyze platform usage to improve our AI algorithms and user experience
  • Generate anonymized market intelligence data products (lane rate reports, seasonal trends, carrier benchmarking)
  • Administer the carrier referral program and track referral credits

3. Market Intelligence and Data Aggregation

FreightAI aggregates and anonymizes transaction data to produce market intelligence products, including lane rate reports, seasonal demand forecasting, and carrier performance benchmarking. This data is:

  • Anonymized: All individually identifiable business information is removed before aggregation. No specific shipper-carrier relationships, individual rates, or company names are disclosed.
  • Aggregated: Data is combined across multiple transactions to produce statistical summaries. A minimum threshold of transactions per lane is required before data is included in any report.
  • Opt-out available: You may opt out of having your transaction data included in market intelligence products by contacting us at [email protected]. Opting out may limit your access to certain market intelligence features.

4. Carrier Performance Data

Carrier performance metrics (on-time delivery rate, safety score, load completion rate, and overall rating) are visible to shippers during the carrier matching process. This data is derived from your activity on the Platform and is used to:

  • Rank carriers in load matching algorithms
  • Help shippers make informed carrier selection decisions
  • Identify carriers eligible for priority matching and premium features

Carriers can view their own performance metrics on their dashboard. Performance data is based on verified Platform activity and cannot be manually edited.

5. How We Share Your Information

We do not sell your personal information. We share information only in the following circumstances:

  • Between transaction parties: Shipper and carrier information is shared as necessary to facilitate freight transportation (e.g., pickup addresses, delivery instructions, contact details)
  • Factoring companies: When a carrier designates a factoring company as their payment method, we share invoice and payment information with the designated factoring company
  • Service providers: We use trusted third-party services for payment processing (Stripe), email delivery (Resend), data storage (AWS S3), and analytics. These providers are contractually obligated to protect your data
  • Market intelligence products: Anonymized, aggregated data may be included in market intelligence reports available to Platform users (see Section 3)
  • Regulatory compliance: We may share information with FMCSA or other regulatory bodies as required by law
  • Legal requirements: We may disclose information in response to lawful requests by public authorities, including to meet national security or law enforcement requirements
  • Business transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of the transaction

6. Data Security

We implement industry-standard security measures to protect your information, including:

  • Passwords are hashed using bcrypt with a cost factor of 12
  • All data transmission is encrypted via TLS/SSL
  • Session tokens are signed with JWT and expire after the configured period
  • API endpoints are protected with authentication, authorization, and rate limiting (5 req/min for auth, 10 req/min for API, 3 req/min for quote generation)
  • Security headers enforced via Helmet middleware (CSP, HSTS, X-Frame-Options)
  • Documents are stored in encrypted cloud storage (AWS S3)
  • Payment data is handled entirely by Stripe's PCI-DSS compliant infrastructure

While we take reasonable precautions, no method of electronic storage or transmission is 100% secure. We cannot guarantee absolute security of your data.

7. Data Retention

We retain your information for as long as your account is active or as needed to provide services. Specifically:

  • Account data: retained until you request account deletion
  • Transaction records: retained for 7 years for tax and regulatory compliance
  • Shipment documents: retained for 3 years per FMCSA record-keeping requirements
  • Usage logs: retained for 12 months for security and analytics purposes
  • Market intelligence data: anonymized data is retained indefinitely for historical trend analysis
  • Dispute records: retained for 5 years from resolution date

8. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access: Request a copy of the personal information we hold about you
  • Correction: Request correction of inaccurate or incomplete information
  • Deletion: Request deletion of your personal information, subject to legal retention requirements
  • Portability: Request your data in a structured, machine-readable format
  • Opt-out of market intelligence: Request exclusion from aggregated data products

FreightAI is not intended for use by individuals under 18 years of age. We do not knowingly collect personal information from children. If we become aware that we have collected information from a child, we will take steps to delete it promptly.

11. California Privacy Rights (CCPA)

California residents have additional rights under the California Consumer Privacy Act, including the right to know what personal information is collected, the right to delete personal information, and the right to opt out of the sale of personal information. As stated above, we do not sell personal information.
